1. Who we are
Cancord Immigration Services Inc. is an immigration consulting practice in Surrey, British Columbia. Our consultant, Karam Mundi, is a Regulated Canadian Immigration Consultant (RCIC R1055866, Class L3 - RCIC-IRB) licensed by the College of Immigration and Citizenship Consultants. This policy explains what personal information our website collects, why, who handles it, how long we keep it, and what you can ask us to do with it.
It covers the website at cancordimmigration.ca and the emails the website sends. Once you become a client, your file is also governed by your retainer agreement and the College's rules, which set stricter duties than this policy.
We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
2. What we collect, and when
When you fill out a form. The consultation, contact, employer enquiry and checklist forms ask for your name, email address, and, depending on the form, your phone number, where you are now, your current status in Canada, your immigration goal and a short summary of your situation. You choose what to write in the summary.
When you use a tool and ask for the result by email. The CRS calculator, the CLB converter, the Express Entry eligibility checker, the provincial nominee calculators and the rural pilot (RCIP) calculators run entirely in your browser. Nothing you enter leaves your device unless you ask us to email you the result. If you do, we receive your name, email address and the answers the tool used.
When you sign up for draw alerts and the draws digest. Your email address, and your consent to receive a short email after each Express Entry round (between four and nine a month in 2026) and one summary a month. We record the page you signed up from and the time. Every email carries a one-click link that stops both.
Automatically, when you visit. Like every website, ours records technical information: the pages you visit, the time, your browser and device type, the site that referred you, and your IP address. Some of this sits in our hosting provider's request logs; some is collected by Google Analytics, described in section 7.
What we deliberately do not collect through the website. Passport numbers, Unique Client Identifiers (UCI), Social Insurance Numbers, dates of birth, document numbers, or uploaded documents. Every form says so, and we ask you not to type them in. Those details are collected only after you become a client, through the secure channel we agree on.
3. Why we use it
- To answer your enquiry and, if you book one, to prepare for your consultation.
- To send you what you asked for: a tool result, a checklist, or the monthly digest.
- To send the short follow-up emails that go with a tool result. If you ask for any tool result by email, two follow-ups arrive over the next five days. The first has a one-click link that stops the second, and the last tells you how to make sure we do not email you again.
- To understand which pages and tools people use, so we can improve the site.
- To meet our legal and professional obligations, including record-keeping the College requires.
We do not sell personal information, and we do not use it for advertising.
4. Consent, and how to withdraw it
Every form has a consent box that you tick yourself. It says what you are agreeing to: being contacted about your enquiry, or receiving the checklist or digest. Nothing is pre-ticked.
You can withdraw consent at any time. Every draw alert and digest email has a stop link that works with one click, and every follow-up email tells you how to stop them. For anything else, email info@cancordimmigration.ca and we will stop, and confirm that we have.
5. Who handles your information
We use four service providers. Each receives only what it needs to do its job, and each is bound by its own privacy terms and by contract with us.

Our website also fetches our own Google Business Profile rating from Google so the review count on the site is current. That request is about our listing, not about you, and sends none of your information.
These providers store data on servers in the United States and elsewhere outside Canada, where it is subject to the laws of those places. Your enquiry itself is read and kept by us in British Columbia.
We share personal information with no one else, unless the law requires it or you ask us to.
6. How long we keep it
- Website enquiries that do not become a client file: 12 months from our last contact with you, then deleted. If you ask us to delete them sooner, we do.
- Client files: at least six years after the file closes, as the College of Immigration and Citizenship Consultants requires, then securely destroyed. A file closes only once fees are settled, your documents are returned and you have been told in writing.
- Digest mailing list: until you click stop or ask us to remove you. Stopped addresses are kept only as a record that you asked us not to write.
- Follow-up email sequence: the schedule is deleted once the last email is sent or you stop it.
- Analytics data: Google Analytics is set to keep visitor-level data for 14 months.
- Hosting logs: kept by Netlify for a short period under its own retention schedule, then deleted.
7. Cookies and browser storage
We use no advertising cookies and no third-party tracking beyond what is listed here.
- Google Analytics sets cookies (named
_gaand_ga_followed by an identifier) that give your browser a random ID so repeat visits can be counted. They do not contain your name or email. - Cloudflare Turnstile may set a cookie while it checks a form submission.
- Our calculators use your browser's session storage to carry a result from a tool to the consultation form, so you do not retype it. That storage is on your device only, is never sent to us until you submit the form, and clears when you close the tab.
A notice on your first visit lets you turn Google Analytics off for this browser, and you can change that choice here at any time. You can also block or delete cookies in your browser settings. The site works without them, apart from the form check, which needs Turnstile to run.
8. Security
Form submissions travel over an encrypted connection (HTTPS). Access to enquiries and client files is limited to the people who work on them. Our providers each publish their own security practices. No method of transmission or storage is perfectly secure, which is one reason we ask you not to send identity documents through the website.
9. Your rights
You can ask us to:
- show you the personal information we hold about you;
- correct anything that is wrong;
- delete it, where we are not required by law or by the College to keep it;
- stop using it for a purpose you no longer agree to.
Write to our Privacy Officer at info@cancordimmigration.ca. We respond within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Information and Privacy Commissioner for British Columbia or to the Office of the Privacy Commissioner of Canada.
10. Children
Our website is written for adults. We do not knowingly collect information from anyone under 18 through it. Information about children comes to us only from a parent or guardian as part of an enquiry or a client file.
11. Our professional duties
As a licensed RCIC, our consultant is bound by the College of Immigration and Citizenship Consultants' Code of Professional Conduct, including duties of confidentiality and record-keeping that apply to client information regardless of how it reaches us.
12. Changes to this policy
When we change this policy we update the date at the top. If a change affects how we use information you have already given us, we will tell you by email before it takes effect.
